Administrative Assistant

Here's what we're looking for

We are seeking an Administrative Assistant to join our legal team in a key, collaborative role.

As a true liaison between the legal team and various departments, this position contributes to document management, compliance, and the smooth running of operations.
Autonomy, proactivity, professionalism, and discretion are essential to effectively manage multiple priorities and support the continuous improvement of practices.

Your daily responsibilities

  • Coordinate and follow up on requests with the legal team according to priorities and deadlines;
  • Follow up with stakeholders and support file processing;
  • Ensure management and compliance with deadlines (corporate filings, licenses, renewals);
  • Prepare and organize documentation, presentations, and administrative files;
  • Schedule meetings, prepare agendas, and draft meeting minutes;
  • Manage inboxes, contracts, and signatures (DocuSign);
  • Maintain up-to-date records, tracking tools, and internal documents;
  • Support internal committees and coordinate follow-up actions;
  • Ensure administrative compliance (language requirements, health & safety, internal obligations);
  • Coordinate the preparation and submission of official documents (e.g., government filings).

Your skills and experience

  • Minimum of 3 years of experience in administrative support. Experience in a legal environment is an asset, but all relevant experience will be considered;
  • Strong writing, formatting, and document review skills with great attention to detail;
  • Proficiency in document management and archiving, ensuring confidentiality and version control;
  • Autonomous and proactive in managing and following up on files;
  • Excellent written and verbal communication skills in French;
  • Discretion and professionalism in handling confidential information;
  • Advanced proficiency in office tools (Word, Excel, PowerPoint, Outlook).
