Executive Assistant

Here's what we're looking for

We are looking for an experienced Executive Assistant to join our team and make a direct impact.

In this role, you will be the right hand to our Co-Founders, ensuring everything runs smoothly and efficiently. You will work closely with our teams and play a key role in optimizing our daily operations.

We’re seeking someone highly organized, detail-oriented, and able to manage multiple tasks simultaneously. As the main point of contact, you must demonstrate diplomacy, maintain confidentiality, and possess excellent interpersonal skills.

Your daily responsibilities

  • Plan and organize meetings, events, and appointments for the executive team, proactively managing the agenda & schedule;
  • Draft, review, and format administrative documents, reports, and presentations for meetings;
  • Screen calls, manage emails, and ensure clear communication between the executive team and departments;
  • Track administrative projects, create schedules, monitor deadlines, and prepare reports;
  • Coordinate events, business trips, and handle all related logistics;
  • Ensure teams follow up on actions decided in meetings and prepare progress reports;
  • Organize and archive administrative and confidential files;
  • Identify and implement improvements to streamline processes and enhance efficiency;
  • Perform additional tasks to support the Co-Founders, including handling personal errands.

Your skills and experience

  • College diploma in secretarial studies or equivalent experience;
  • Minimum of 5 years of experience as an executive assistant;
  • Ability to work independently and manage multiple tasks simultaneously;
  • Proficiency in Word, Excel, and PowerPoint;
  • Excellent written and verbal communication skills in French;
  • Ability to innovate and optimize processes.
